BLOC Venue Booking Terms of Use

Please read the following carefully before making a booking with BLOC. All bookings are subject to these conditions.

  • ARRIVAL: Please arrive on time for your booking. If you are more than 15 minutes late (without notice) we reserve the right to cancel your booking.  
  • BOOK A PORTER: All events open to the public (not students or staff with ID) after 6pm or at weekends require a porter to open our front door. You should book this in advance via the Estates Helpdesk
  • CANCELLATIONS/ALTERNATIVE SPACES: In rare and unavoidable circumstances we may need to cancel your booking or move you to an alternative space particularly for internal bookings and we will do our best to find you suitable alternatives but cannot guarantee this. The BLOC venue manager also has the right to cancel bookings if these terms are not adhered to. 
  • CALENDAR INVITES: All bookings are confirmed with a meeting request/calendar invite – if you don’t receive this please email bloc@qmul.ac.uk
  • CLEANING: All spaces should be left clean and tidy with all rubbish put into main bins in the ArtsOne foyer. No messy or dangerous materials may be used without prior consent and written permissions. These should also be in the risk assessment you provide.
  • DAMAGE/THEFT/ISSUES: If there is any damage or issues these should be reported immediately after the event in writing to bloc@qmul.ac.uk. If this isn't done or there is behaviour that compromises the safety of BLOC venue future bookings will be cancelled.
  • EVENT ORGANISER: The event organiser is the person identified in the form and is expected to attend the event to supervise the event. You must be present at your own event.
  • FOOD AND DRINK: No messy food or drinks including hot drinks/food red wine or chewing gum may be consumed in our spaces. With written permission catering may be served in the Production Studio (Black Box) as this can be cleaned more easily. Catering can be ordered at least 24 hours in advance via QM Hospitality
  • NOTICE: Bookings for public events should be confirmed at least 1 month in advance to allow for maximum time for publicity and generating an audience. Last minute bookings (below 7 days in advance) are not ideal and we will try to honour these where we can but cannot guarantee we will be able to staff or accommodate last minute bookings.  
  • SUBMIT YOUR PLANS AT LEAST A WEEK BEFORE:
    1. Schedule: Your running order including any room plans or requirements should be submitted to bloc@qmul.ac.uk a week before
    2. Tech Plan: Your tech plans if necessary, including how you plan to deliver and present any media (what format?) you are planning to show
    3. Risk assessment – You must carry out a risk assessment of your event and submit it to our bloc@qmul.ac.uk address 1 week before latest Download a template (please change the name of event and add any risks + mitigations). You must also liaise with any additional parties including Security and Estates and Facilities as required by QMUL Events policy.
  • TECH SUPPORT & DUTY MANAGEMENT OR INVIGILATION: All bookings are self-access room only and if you need a technician or duty manager or exhibition for the event you must email separately to discuss this. You are welcome to meet with us to get trained to use our spaces in advance.
